TERMS & CONDITIONS
At club level in the UK Condition of entry
The Golf Partners Worldwide tournament is open to all golf clubs that are affiliated to the relevant national golf union. All competitions are played under “The Rules of Golf” as specified by The R&A (UK version 517B1CFD-9F8D-40F9-8D4C-EC4BC0848025-2014). All participants must be amateur golf club members aged 16 or above at the regional final. All participants must hold an active golf club handicap.
The number of pairs a participating club may send to the next level is unrestricted provided an entry fee is paid for each pair sent and completed winners’ details form submitted in respect of each pair.
Confirmation of entry In order to participate in a Golf Partners Worldwide competition, participating club must submit authorised winners’ details form provided by GFW, details of each pair entered into the competition and pay the entry fee for each pair. It is the responsibility of the nominated representative of the club competition committee to provide the organisers with the details of the winning pair(s) – minimum requirements: full names, postal addresses, telephone numbers and active handicaps supported by a handicap certificate. The submission of an incorrect or unauthorised winners’ details form may result in the disqualification of the club and thus all entries thereof. There would be no refund of entry fees. The decision of the Management of Golf Partners Worldwide will be final in this respect. The person first named on the winners’ details form will be treated as the main contact and all correspondence regarding their participation in future rounds will be addressed to the main contact.
Cancellation of entry All club entry fees are not refundable.
If the winning pair is unable to attend the regional final to which they have been allocated, they may request to attend an alternative regional final. All such requests will be accommodated where possible but no guarantees are given.
If the winning pair is unable to attend next round, the club may nominate a replacement pair up to two weeks before the event is due to be played. If the replacement pair played in the initial club qualifying event, their score will count in the regional final. If the replacement pair did not play in the initial club qualifying event, their score will not count in the regional final.
If one member of the pair is unable to attend any regional final, a replacement player may be nominated by the club. If the replacement player played in the initial club qualifying event, his/her score will count in the regional final. If the replacement player did not play in the initial club qualifying event, his/her score will not count in the regional final. If the club is unable to find a pair to compete in any regional final, the organisers may agree, in certain circumstances, to hold open a place in the regional finals the following year but no guarantees are given. If a place is held open for the following year, it will only be so on the condition that the club runs a separate qualifying event in that year for which the entry fee is paid and therefore effectively sends two pairs for the price of one that year.
At Regional & National level in the UK and World Finals
Regional finals are open to all golfers that have qualified through a Golf Partners Worldwide event: officially registered club qualifying events, the Summer or Winter Matchplay or the Golf Partners Worldwide Pro AM event.
The allocation of pairs to regional finals will be done by the organisers.
National finals are open to all golfers that have qualified through the regional finals.
World Final is open to the current Golf Frontiers national champions that have qualified from the national finals in each participating country.
GPW reserve the right to allocate places in any of these events to other pairs in addition to those that have qualified through the above competitions.
It is the responsibility of each pair to produce an active handicap certificate at regional, national & world event.
Participants’ packages & extras
Your booking with GF only includes the stated package set out in your booking confirmation and GPW responsibility only starts from the point of arrival at the host venue. Unless otherwise stated, all accommodation is booked on a twin room basis.
GPW accept no liability for any charges you incur on site in relation to any extras outside of your package. All extras consumed on site such as food, drink, entertainment, spa treatments and transport must be paid by participants directly to suppliers at the time payment is required by suppliers. GPW may offer additional packages to competitors at the regional finals such as single rooms or accommodation for supporters. All such packages are subject to availability and are only confirmed upon receipt of payment.
Subsidised practice rounds will also be made available on the day before the competition round. They have been secured by us with the venue as part of a package. Therefore those rounds can only be booked via ourselves and in no case directly with the golf course. As they are part of a package, subsidised green fees cannot be given by golf clubs to juniors, green keepers and golf club secretaries cannot be given in this instance. Payments for practice rounds are non-refundable.
The price payable to GF at the time of your booking will not change but the right is reserved to pass on to you any unforeseen additional costs from suppliers.
Participants’ late show & on-site payments
Entry in the event can only be granted if participants fees are settled in full prior to the start of the event. Late arrivals at events may be allowed to participate but their score will not count and therefore forfeit their right to any prize entitlement.
Outstanding monies, deposits, balances, transfers, pound sterling, refunds
Occasionally when bookings are taken some months in advance of departure, payment may be by way of a non-refundable deposit of 25% followed by two equal post-dated cheques dated at monthly intervals from the date of first cheque. The Confirmation Receipt will set out the due balance (if any), which must be paid at least 14 days before the start of the event. If you do not pay in full 14 days prior to the start of competition, we reserve the right to treat your booking as cancelled, in which case cancellation charges of up to 100% may apply. All bank transfers have to be done in clear funds (bank charges to be paid in full by competitors). In the event of discrepancies the Confirmation Receipt sent by GPW will state the due remaining amount, which will have to be paid in full at registration time prior to start of competition. Failure to pay due monies on time could result, at the organisers’ discretion, in the cancellation of participation and right to a refund according to the cancellation schedule (see above). All payments have to reach GF in Pound Sterling for the correct amount as per price list, regardless the currency used in the country of origin (information given in other currencies are purely for convenience).
Making changes to your travel arrangements
In the event that GPW has provided you with any travel arrangements and you wish to change any part of your booking after we have sent your Confirmation Receipt, provided that we are advised of such changes in writing, by the person who has signed the Booking Form at least 8 weeks before departure, we will do our best to help.
In many cases, changes will not be possible, but if we can negotiate a change with our suppliers then there will be an amendment fee payable of £10 per person where changes are possible.
If for serious reasons of health, the death of a close relative or for jury service you are prevented from proceeding with your travel arrangements, you may be able to transfer your booking to another person, provided that we are given reasonable notice in writing by the person who has signed the Booking Form – usually of at least 4 weeks before departure – and providing that all suppliers of your travel arrangements also consent. If a transfer of booking is possible then an amendment fee of £10 is payable per person and both yourself and the person to whom the booking is transferred will each become liable together or separately to pay to us any balance due for the price and any cancellation or amendment fees incurred by GF or its suppliers. In certain circumstances, your insurance policy may cover you for some of the additional charges which may arise.
Cancellation of participants’ booking
Should you wish to cancel your booking or any part thereof, you must notify GPW in writing. We must be notified in writing by the person who signed the Booking Form. The cancellation will take effect from the date when the written confirmation is received by us. Cancellation fees will apply on the following scale which are shown as a percentage of the total tour price (excluding any insurance premium): 1-7 days – 100%; 8-14 days – 75%; 15-21 days – 50%; 22-28 days – 25%.
Personal Insurance & idemnity
Having valid personal insurance to cover accident and injury on a golf course is an obligation towards your entry in the competition. Some insurance companies may consider the game of golf as a dangerous sport and you should mention your participation when obtaining a quotation. You should also ensure that your golf equipment is covered in the policy and that you are covered for playing in a competition.
GPW are not an occupier of premises for the purposes of the Occupiers Liability Acts of 1957 and 1984 and as such doesn’t have duty of care either by imposed by statute or at common law for participants in this competition being played over any course during matches. Consequently GPW will not accept liability in any circumstances for the death, bodily injury or loss of property of competitors whilst playing a course. Any such matters must be addressed to the particular club.
Health, passports/visas & travel insurance
It is your responsibility to ensure that all members of your party obtain the right inoculations and medical advice before you travel. Similarly, it is your responsibility to ensure that the whole party has valid passports before the holiday commences. GF strongly recommend you undertake adequate travel/holiday insurance to cover matters such as the cost of cancellation and the cost of assistance, including repatriation, in the event of accident or illness.
Appropriate dress and footwear
Appropriate dress and footwear should be worn at all times on the course and in the clubhouse. Certain hotels require a specific dress code for dinner and this will be advised at the time of booking and in the extra notes on your booking confirmation. GF cannot accept any responsibility for any ruling by the hotel or golf course if you or any of your group is unable to play or dine due to inappropriate attire.
GPW expect all competitors to have consideration for other people. If in GPW’s reasonable or in the reasonable opinion of any other person in authority, you or any member of your party behaves in such a way as to cause or be likely to cause danger, upset or distress to any third party or damage to property, GPW or the supplier in question are entitled, without prior notice, to terminate the participation of the person(s) concerned in the event. In this situation, the person(s) concerned will be required to leave the hotel or golf course. Neither we nor the supplier will have any further responsibility toward such person(s). No refunds will be made and GPW will not pay any expenses, costs or claims incurred as a result of the termination.
Theft and Damage
When you book with GPW, you accept responsibility for any damage or loss caused by you or any member of your party. Full payment for any such damage or loss must be paid direct at the time to the hotel or golf course. If you fail to do so, you will be responsible for meeting any claims subsequently made against GPW (together with GPW’s own and the other party’s full legal costs) as a result of your actions. Organisers cannot be deemed responsible for any theft or damage occurring at any stage of the event.
Condition of play at events
Although the golf courses GPW uses are carefully selected, their actual playing condition may vary from time to time. Course maintenance such as aerating greens and improving drainage will happen from time to time and often will be scheduled at short notice, depending on weather, which means that GF are not always made aware of when this will occur. Equally, in particularly dry spells, when there are water bans in place, fairways and greens may be burnt and not in the best of playing conditions. Events such as these are outside of GPW’s control and we cannot be held responsible for the condition of the course during the event.
Cancellation of event
In the unlikely event the competition is cancelled by the organisers, we reserve the right to re-schedule it at no extra cost to the competitors in the next following eight months. If Golf Partners Worldwide then fails to organise the event within that time frame, competitors will receive full refunds. In the event the competition is cancelled caused by circumstances unforeseen to us and beyond our control, such as: war or threat of war, civil strife, industrial dispute, natural disaster, terrorist activity, or prevailing weather conditions, this also applies to any unexpected closure of facility, organisers reserve themselves the right to apply a 10% management fee to all monies received. In any event Golf Frontiers will not cover any refund to third parties (ie: hotels, flights…..) as it is requested that all competitors have correct travel and personal insurances to which they should turn to make a claim.
We can normally agree to an amicable settlement of any complaints. We cannot entertain complaints made to us after the expiry of 28 days from prize giving ceremony, especially where you have not complained during the course the competition and have not given us the opportunity to investigate matters and to resolve any proper complaint.
At no stage of the event can alternative prizes be offered.
